Context

To provide Personal Assistant support

Managing the diary of the deputy general manger Supply, Chinese White Spirits. Providing additional organisational support to the Supply team.

 


Dimensions of the role

a) Financial

Supply Procurement covers the supply, packaging and technical operations for Diageo in SJF,CWS, APAC and Global

 

b) Complexity

Diary and events can change significantly and frequently – requiring anticipation /pro activity, flexibility and resilience.

The Asian Pacific Supply Leadership Team and their P.A.s

Chinese White Spirits BU Leadership Team and their P.A.s

JV Partner’s Executive Team and their P.A.s

 


Top 3-5 accountabilities

Manage the support requirements from CWS Supply Chain and APAC Supply Chain Team. Focussing on the urgent and important issues and balancing time between meetings and work/preparation. 
Complete control of their diary including all global travel and logistical arrangements, arranging/co-coordinating internal and external meetings routinely and as requested. 
Manage the office in their absence, co-ordinating information and business flow. 
Prepare their expense returns, including for overseas trips and accounting for foreign currency. Review direct report’s expense reports for onward approval. 
Co-ordinate all other ad-hoc administrative tasks as appropriate.
Support joiners, movers or leavers forms/assist in IS follow up. Assist to coordinate induction/farewell arrangements per required.
Maintain files – both electronic and hard copy filing system


Proactively manage email
Action where necessary without further reference to the Head of Supply Procurement.

 

Facilitate the smooth running of the finance team

Be actively involved with the planning/coordinating & facilitating of departmental events/training days/meetings & adhoc.

Provide support for general administrative tasks (e.g. purchase orders, celebrations etc). Maintain direct report’s 1:1 meeting follow up action files

Co-ordinate information and business flows to the wider European Procurement.

Responsible for the ordering of all office equipment and requirements.

 

Give support to senior visiting groups/finance staff 
Conferences – arrange full accommodation/travel/logistics for Directors, room bookings, evening events & all admin as required. Give travel/logistic/admin support to visiting senior members.

 


Qualifications and experience required

Experience in:

Proactively building strong relationships Cutting through processes to get results – handles challenges of changing and competing priorities Highly effective office management Combines self-confidence and the ability to speak up to confirm understanding with exercise of sound judgment. A minimum of 3 years experience in a PA role or similar - Previous experience in a senior support role would be an advantage. Experience in JV is a big plus  Strong computer skills are essential – advanced Outlook, Word, Excel and PowerPoint required. Need to be able to develop strong relationships within the Procurement Team and across Europe Supply (Scotland, Northern Ireland, Baileys, Santa Vittoria). Good written English. Attention to detail/High Standards. Ability to manage peaks in workload and multitask. Tenacity and follow-through to ensure tasks get completed to high standard. Uses initiative to overcome barriers/blockages. Ability to deal with integrity and in a discreet manner, all confidential material.
